General Statement

The Program Specialist for High School Dual Enrollment Programs and Partnerships supports and/or oversees operational functions, participates in continuous improvement processes, provides a high-level of daily interaction with the Academic Counselor, students, parents, high school staff and QCC staff; assists the Executive Director in operationalizing the program, including reporting, project coordination, and meeting & special event planning. The Program Specialist completes tasks independently while anticipating the need to report to and receive input from the Team. The Program Specialist and the Academic Counselor work collaboratively and in unison to support students and the Programs in general. The Program Specialist oversees Academic Lab and is typically the first point-of-contact with students, parents/guardians, partners, and other agencies, for Gateway to College and Attend College Early, and maintains ongoing communication to strengthen student outcomes.

Reports directly to the Executive Director of High School Dual Enrollment Programs and Partnerships.

Duties and Responsibilities

  • Collaborate with the Executive Director of High School Dual Enrollment Programs and Partnerships, the Academic Counselor and other program staff to ensure quality and continuity of program benchmarks and related Academic Lab experiences.
  • Attends internal and external meetings as required in support of the program.
  • Participates in evening and weekend events in support of the program and in support of college-wide initiatives including but not limited to Admissions, Academic Affairs and Access and Opportunity Events.
  • Oversee students in Academic Lab and maintain quality programming embedded in the Programs' Blackboard shells.
  • Monitors and provides feedback to the Academic Counselor, students, Executive Director, and program staff regarding student challenges and progress.
  • Assists the Executive Director of High School Dual Enrollment Programs and Partnerships, the Academic Counselor and program staff with day-to-day operations support and social media projects for Dual Enrollment programs.
  • Serves as the initial point-of-contact for Dual Enrollment Programs, responding to and/or forwarding inquiries to appropriate parties for action. Maintains ongoing communication with students and parents to improve student outcomes.
  • In collaboration with the DE Team, identifies operational needs and implements comprehensive and sustainable solutions.
  • Ensures and maintains confidentiality; abides by FERPA guidelines.
  • Works with team to document enrollment, retention, and completion data. Maintains appropriate records retention and record keeping of student files for data collection, entry, and reporting, as required by contracts and to sustain partnerships. Prepares and submits data to reporting agencies per guidelines. Adheres to all reporting deadlines.
  • Maintains repository of agreements and/or contracts with students, parents, and program partners.
  • Collaborates with the Academic Counselor and team to implement outreach, recruitment, and retention activities. Organizes, promotes, and assists with information sessions, orientations, graduation, and other events. Maintains, tracks, and follows-up on inquiries.
  • Maintains a database of college and community resources to address student needs; maintains and updates student handbooks annually.
  • Collaborates with program staff to submit School Choice paperwork to Uxbridge High School.
  • Works with the Executive Director and program staff to design high school dual enrollment materials and processes.
  • Actively supports the teaching and learning process; practices honesty and integrity in and out of the classroom; strives to create a student-centered environment while fostering academic innovation and excellence.
  • Works actively with other areas of the college to ensure a spirit of college wide collaboration, collegiality, civility, and teamwork. Respects the function of dissent in an academic institution while advancing a collegial atmosphere of campus collaboration.

Job Requirements:
Minimum Qualifications

  • Bachelor's degree or Associate degree and 3+ years related professional experience and requirement of bachelor's degree within five (5) years of date of hire.
  • Reliable, punctual and responsible.
  • Ability to work effectively and to maintain collaborative working relationships with faculty, staff and students and the public from a variety of diverse backgrounds.
  • Must be able to work independently as well as collaboratively.
  • Experience with Office 365, as well as Google workspace and suite.
  • Ability to maintain accurate records.
  • Excellent written and oral communication skills in English.
  • Highly organized and able to rearrange priorities to meet changing workload needs and deadlines.
  • Strong attention to detail.



Preferred Qualifications

  • Bachelor's degree.
  • Exceptional oral, written and interpersonal skills and ability to compose correspondence and reports.
  • Significant experience utilizing Office 365 (Word, Excel, Outlook, Teams, SharePoint, Forms, Bookings, Power Point, Power Automate, etc.).
  • Experience with virtual meeting tools, such as Zoom, MS Teams, etc.
  • Experience working in Higher Education and/or Secondary Education.
  • Experience creating or updating web pages and social media sites (e.g., Facebook, Instagram, etc.).
  • Ability to exercise tact and diplomacy.
  • Bilingual/Spanish preferred.
